From session recording to coaching session transcript

  1. Get the recording as a file. On Zoom, follow transcribe a Zoom recording. In person on an iPhone, see voice memo to text.
  2. Upload it above.
  3. Read the transcript with the recording playing. Fix names and anything unclear, and add who is speaking.
  4. Copy the text or download DOCX, TXT, PDF, Markdown or JSON. DOCX is easiest if you plan to edit and format it.

Transcripts for ICF credentials and mentor review

The International Coaching Federation (ICF) asks for a recorded coaching session and its written transcript on several credential paths, such as the ACC and PCC Portfolio paths and MCC. If your ICF-accredited program already included the performance evaluation, you may not need to submit one. ICF's performance evaluation page has the current rules, and ICF publishes a free sample coaching session transcript template. Other programs and mentor coaches may ask for one too.

Transcriv does the slow part: getting every word on the page. The rest is yours to do:

  • Label each turn as coach or client. The transcript has no speaker labels.
  • Check it line by line against the recording. Overlapping voices are where errors gather.
  • Format it the way your program asks. Check its current rules, not ours.

Need to point a reviewer to a moment? With timing data, the timestamped transcript view shows when each segment starts.

Example layout after you add labels

An illustration, not tool output. Transcriv gives you the words without the "Coach:" and "Client:" tags.

Coach: What would make this week a good one for you?
Client: Honestly, finishing the proposal. I keep putting it off.
Coach: What's getting in the way?

Client consent and privacy

Coaching sessions are personal. Here is what happens to the file, and what we suggest you do. This is general advice, not legal advice.

What Transcriv does with the recording

  • The uploaded file is deleted once the job completes or fails.
  • The transcript and operational metadata may be kept for a limited period for debugging, reliability, billing and abuse prevention.
  • Nothing joins your calls or records your sessions.

Full details in the Privacy Policy and Terms of Service. We make no HIPAA or other compliance claim.

Our advice before you record

  • Ask the client first, and tell them why: your notes, supervision or a certification.
  • Say that an online service will transcribe the recording.
  • In a group session, ask everyone. One person's yes does not cover the others.
  • If a client says no, accept it without pressing, and take notes by hand instead.
  • Keep the transcript as safely as your session notes, and delete what you no longer need.
  • Work in a regulated field such as therapy? Check your own rules before uploading.

Wording you can adapt

"I'd like to record today's session for [my notes / my ICF credential application]. An online service will turn the recording into text. Saying no is fine, and you can ask me to stop recording at any point."

Coaching session transcription questions

Is coaching session transcription free?

Your first 60 minutes are. A free account has 60 lifetime minutes, for files up to 60 minutes and 100MB. That is one hour-long session or two 30-minute ones. After that, Pro is $9.99/month.

Does it label the coach and the client?

No. The transcript has no speaker labels. Add Coach: and Client: yourself while you check it against the recording.

Can I use the transcript for an ICF credential or other coaching certification?

Yes, as your starting draft. On several ICF credential paths, including the ACC and PCC Portfolio paths and MCC, you submit a recorded coaching session with a written transcript. If your ICF-accredited program already included the performance evaluation, you may not need to submit one. Transcriv gives you the words. You add the speaker labels, fix any errors and lay it out the way ICF or your program asks. It does not assess the session or check it against any competency model.

What if my session is longer than 60 minutes or over 100MB?

A free file can be up to 60 minutes and 100MB. If a Zoom MP4 is too big, upload the audio-only M4A instead. A free account has 60 minutes in total, so a session over an hour needs Pro ($9.99/month), which takes files up to 5 hours and 2GB.

How do I record a coaching session?

On Zoom, use its record button and download the MP4 or M4A afterwards. In person or on a phone call, a voice recorder app on your phone works, such as Voice Memos on an iPhone. Ask the client first, and put the phone close to both of you.

Can I transcribe a Zoom coaching session?

Yes. Download the MP4 or M4A recording from Zoom and upload it. Transcriv does not join or record calls. See the Zoom recording guide for where Zoom saves the file.

What happens to my client's recording?

The uploaded file is deleted once the transcription job completes or fails. The transcript and operational metadata may be kept for a limited period for debugging, reliability, billing and abuse prevention. That is what our Privacy Policy says.

Will it turn the coaching transcript into session notes or a recap?

No. You get the transcript only. Writing your notes, the client recap or action points is up to you.
